Terms & Conditions

1. Introduction
These Terms & Conditions apply to all photography services provided by TomReynoldsPhotography ("the Photographer," "I," "me," or "my"). By booking a session or purchasing any products, you acknowledge and agree to the following terms.

2. Booking & Payment
A Booking Fee of up to 50% of the agreed final price is required to secure a booking. The remaining balance must be paid before the delivery of final images. Prices may vary depending on factors such as location, scale of the event, or time of day; however, once a booking is confirmed, the agreed rate will be honoured.

3. Cancellations, Rescheduling & Postponement
If the client cancels or a reschedule is required session, please provide as much notice as possible. Cancellations made within five (5) days of the scheduled shoot will result in no refund and any reschedule will incur an new booking fee.

If the appointment has to be postponed by TomReynoldsPhotography due to adverse weather conditions a new, mutually agreed appointment will be made at no extra costs.  In extreme circumstances where the photography session is time-specific, a full or partial refund will be considered, but not guaranteed.

If TomReynoldsPhotography has to cancel the appointment for reasons beyond their control (injury, sickness, death etc.), their liability shall be limited to a full refund of all monies paid (including the Booking Fee).

For wedding and event bookings, if the event is postponed to a later date, I will aim to accommodate the new date at no extra cost, subject to availability. If unavailable, cancellation terms will apply.

All rescheduling options will be subject to TomReynoldsPhotography availability.

4. Lateness

If the client is late for the appointment but still within 15 minutes of the contracted start time, Mei Photography will honour the booking but there will be no additional time allowed as standard.

Please note that by being late there will be a direct impact on the number and range of images taken during the session.

5. Creative License & Image Processing
As the Photographer, I retain creative license over the final images, including selection, composition, and editing style. While I will make every effort to accommodate specific requests, I cannot guarantee every shot or composition due to environmental and situational factors.

All images are edited to maintain a consistent and professional standard. Requests for additional edits beyond basic retouching may incur extra charges. Clients may not apply filters, re-edit, or alter images without prior consent.

6. Image Usage & Copyright
All images remain the copyright of TomReynoldsPhotography unless otherwise agreed in writing. Clients receive a license for personal use, while commercial use requires prior written consent. Altering or editing final images without permission is strictly prohibited, including the application of additional filters. Images may be shared on social media, and I kindly request that you tag me in any posts.

7. Personal Photography & Interference
During sessions, I kindly request that guests, friends, or family members refrain from using personal cameras or mobile devices in a way that interferes with my work. This ensures the best possible outcome for your images.

For weddings and events, I will make reasonable efforts to work alongside videographers and other professionals, but the client must inform guests to avoid obstructing shots.

8. Delivery of Images
Final images will be delivered digitally via WeTransfer. Turnaround times may vary based on workload and project type, with priority given to sports and event photography over pet and family portrait sessions. RAW files are not provided unless agreed upon in advance.

9. Travel & Additional Costs
Travel within a 10-mile radius of Basingstoke is included in the service. Additional mileage fees will apply beyond this distance at a standard rate per mile. For long-distance shoots, accommodation and travel expenses may be required and will be discussed at the time of booking.

For destination events, the client is responsible for covering travel, accommodation, and any additional costs associated with the shoot.

10. Liability & Refunds
While every effort is made to deliver high-quality images, results may vary due to factors such as lighting and location conditions. In the rare event of equipment failure, illness, or other unforeseen circumstances preventing the shoot, a reschedule or partial/full refund will be offered. No refunds will be issued once final images have been delivered.

11. Client Responsibilities
Clients are responsible for obtaining all necessary permissions, such as location access and model releases, prior to the shoot. Any damages to equipment caused by the client may incur additional charges.

12. Privacy & Data Protection
Client information will be securely stored and will not be shared with third parties without consent. Images may be used for promotional purposes, including portfolio and social media, unless the client requests otherwise in writing.

TomReynoldsPhotography will not discuss, store or use any personal information about you other than the photographic images taken during photography sessions and your contact details (name, email, telephone number & address).

TomReynoldsPhotography will not disclose any material or information communicated to her for the purposes of photography to any third parties. These details will not be made available to third parties. Should you wish to have your details removed from our database, please advise us in writing or via email.

TomReynoldsPhotography will not display, share, or use as promotional material (portfolio), any photographs of a minor under the age of 16 or anyone protected under the Protection of Vulnerable Groups Act (2007) without the express written consent of the parent or guardian.

13. Changes to Terms & Prices
These Terms & Conditions may be updated periodically, and continued use of my services constitutes agreement to the latest version. Prices are reviewed annually based on industry factors such as inflation and experience level. If a booking is confirmed before a price update, the original agreed rate will be honoured.
